Vacancy: Finance and Administration Officer (Sweden Hub) – Position Filled

We are looking for a Finance and Administration Officer to join our small team in Stockholm and take charge of the financial operations while our colleague goes on parental leave. You should be familiar with audits, invoices and budget preparations. Our ideal candidate demonstrates interest in managing project accounting, project reconciliations and grant administration. You should also have excellent organizational skills and be able to handle time-sensitive tasks. Ultimately, you’ll be responsible for the day-to-day management of our financial transactions and procedures and report to the Head of Finance and Administration.

Responsibilities

Financial administration

  • Administrate and manage financial reporting to funders
  • Process incoming and outgoing invoices
  • Responsible for project reconciliations
  • Liaison with book-keeping agency
  • Quality assure project accounting
  • Quality assure monthly and annual closing of the accounts
  • Support with payroll (outsourced) 
  • Participate in preparation of operating and grant budgets when required.
  • Process travel claims and expense reports

Project support

  • Assist in the preparation and review of subgrant agreements
  • Support the procurement process for services and goods
  • Provide financial support for new funding proposals
  • Ensure alignment with funders’ requirements
  • Do periodic review of systems and polices and make recommendation for policy and systems change.
  • Support in different events and meetings arranged by the hub
  • Travel support and reimbursements from external participants 
  • Be adaptable and flexible to take new tasks and new assignments as requested from time to time

Essential skills/experience

  • Degree in finance/business administration or equivalent.
  • Solid work experience from project accounting, administration and financial follow-up.
  • Demonstrated experience and skill with financial reports preparation and presentation and proven ability to translate technical financial data into informative reports.
  • Fluency in written and spoken Swedish as well as English, the working language of Future Earth internationally.
  • Advanced computer skills in MS Office programs, particularly Excel and accounting software experience.
  • Structured with a proactive, solutions-oriented mindset 
  • Flexible with strong interpersonal skills, a good team player

Desired skills/experience

  • Experience from a finance role preferably in an academic environment, foundations or non-profit organizations.
  • Experience of contract management for services and agreements
  • Experience of working in the public sector or a foundation

Position

Temporary position (“vikariat”), fulltime employment, starting date in May 2023. Duration 18 months (approx. until September 2024). This position is based at the Swedish global hub of Future Earth (Stiftelsen Future Earth Sverige) and we sit in the building of the Royal Swedish Academy of Sciences in Stockholm. Close to public transport, local buses, and underground.

Owing to the global nature of the work, some out of office hours work is required.
